View and manage the tax deadline calendar in SamBooks

The tax calendar brings together, in one place, every deadline your company owes to the Revenue Agency, INPS, INAIL and your municipality over the next 12 months, with the amount whenever SamBooks can calculate it.

What it's for

The tax calendar (your company's fiscal agenda) lists, in chronological order, every obligation you need to handle over the next 12 months: periodic VAT payments, withholding taxes, INPS and INAIL contributions, balance and advance payments for direct taxes, filing deadlines, and local and chamber-of-commerce dues. You don't need to configure anything: every night SamBooks recalculates deadlines based on your company's profile — VAT regime, tax regime, legal form, whether you have employees — and updates amounts as soon as the accounting data allows it. From here you can also have SamBooks prepare an F24 draft for a deadline and mark what you've already taken care of, or ask Sam to do the same in chat.

Before you start

No setup is required: the calendar is always active and fills itself in. Two things worth knowing before you use it:

  • It isn't a left-menu entry. You reach it from the "Tax calendar" card on the Filings page, or from the "Upcoming deadlines" widget on the home dashboard, which has a direct "View full agenda" link.
  • Actions that change a deadline (preparing its F24, marking it handled, reopening it) require a user with the Manager or Administrative role. A Viewer sees the whole agenda but can't perform those actions: the button still shows, but the attempt is rejected.

Step by step

1. Open the agenda

From the dashboard, in the "Upcoming deadlines" widget, click View full agenda: this opens the /calendario-fiscale page with the chronological list of every obligation for the next 12 months, not just the imminent ones. Alternatively, go to FilingsTax calendar card. Either way you see the same information — only the default time window differs.

2. Read a row

Each row shows the description of the obligation — with its reference period, e.g. "Monthly periodic VAT payment — 06/2026" — the relevant authority (Revenue Agency, INPS, INAIL, Chamber of Commerce, municipality, region) and the due date. On the right you'll find either a status or an amount, depending on what SamBooks can calculate:

  • An amount in euros, labeled "Sam's estimate" underneath: SamBooks calculated it from your own data (a VAT settlement, the balance of a contribution account, the withholding-tax engine). If the amount is also a clickable link (underlined, with a small arrow), an F24 draft is already waiting behind it — click the amount to open it.
  • "To calculate": the obligation exists, but SamBooks doesn't have enough data yet to estimate it — typical of direct taxes and some local levies, where you or your accountant need to step in first.
  • "To record": this applies to contributions or local taxes whose amount depends on a ledger balance you haven't posted yet — as soon as you record the cost, the amount appears the following night.
  • "Handled", with the row struck through: you've already marked the obligation as done. It stays visible — it doesn't disappear from the agenda — and you can reopen it at any time.

A deadline that applies to your company always shows up in the agenda, even when there's no amount to display: SamBooks would rather remind you without a figure than leave it out entirely.

3. Use the actions menu

On the right of each row, the button opens a menu with the available actions — not all of them always appear, only the ones that make sense for that row:

  • Prepare F24 — shows up only when the amount is already calculated and the deadline doesn't have an F24 draft linked yet. It creates (or updates) a preview F24 draft — with no accounting entry, which stays pending your confirmation — and takes you straight to the newly created draft. If there's nothing to prepare (the amount isn't calculated yet, or the obligation doesn't lead to an F24 — a filing, for instance), the button simply doesn't appear: you avoid the classic "I clicked and nothing happened."
  • Mark handled — opens a dialog with an optional note field (e.g. "paid with the F24 of 16/06" or "delegated to the accountant") and a confirm button. The row moves to the handled status: struck through, but still visible in the agenda for traceability.
  • Reopen — available only on deadlines already marked handled: it cancels the marking and brings the deadline back into the active flow. It doesn't trigger new notifications for reminders already sent, so reopening an old deadline won't send you a late reminder.

4. Switch between the dashboard view and the full agenda

The "Upcoming deadlines" widget on the dashboard shows only the next 30 days by default; the Show the next 12 months link expands it in place (the card grows, no new page opens), and Show only the next 30 days collapses it back. The /calendario-fiscale page, instead, always shows the full 12-month window, with pagination (10 rows per page by default, selectable as 10, 20 or 50 at the bottom of the list).

Where deadlines come from

SamBooks keeps a catalog of about thirty standard Italian SME tax obligations: periodic and annual VAT, withholding tax on employees and self-employed professionals, INPS contributions (employees, separate management, craftsmen, tradespeople) and INAIL, IRES/IRAP/IRPEF balance and advance payments, income tax return, the Single Certification (CU), form 770, IMU, the annual chamber-of-commerce fee, financial statement filing, the virtual stamp duty on e-invoices, and the corporate books tax. Every night, for every company, the system selects only the obligations that actually apply, based on the profile: VAT regime (monthly or quarterly), tax regime (ordinary or flat-rate RF19), legal form (corporation, partnership, sole proprietorship), social-security scheme (craftsmen, tradespeople, separate management) and whether there are employees. The calculation always covers the whole current year plus a rolling 12-month margin from today, so the agenda never shrinks as the year goes on.

If you change your tax profile — for instance from monthly to quarterly VAT, or from flat-rate to the ordinary regime — the calendar doesn't update instantly: the recalculation runs with the next nightly job, so the change shows up the following day.

The flat-rate regime (RF19)

If your company is on the flat-rate regime, the calendar remains fully usable: since you don't settle periodic VAT, you simply won't see rows for monthly or quarterly VAT payments, the LIPE communication, the annual VAT balance and the December VAT advance, nor your own IRPEF balance and advance (a flat-rate business pays the substitute tax, not ordinary IRPEF). What stays in the agenda are the obligations that still apply to you: social-security contributions, the virtual stamp duty on e-invoices, IMU, the chamber-of-commerce fee, the income tax return and, if you have employees, the related withholdings and contributions.

Notifications

The day before each deadline, SamBooks sends a single, combined reminder — not one per obligation — covering every deadline due that night: an in-app entry, always active; an email and a push notification, according to your preferences under Settings → Notifications (Finance category). Recipients are the users with the Manager or Administrative role in your company: a Viewer doesn't get the reminder, since they aren't the one expected to act on it. If you've invited an accountant as a collaborator, they don't receive the per-company digest: instead, they get a single aggregated firm digest with the deadlines of all the client companies they follow, in one email — so they don't end up with a separate notification for every client.

Ask Sam

Every row has an Ask Sam button that opens the chat with a message already filled in: if the deadline is eligible for an F24, it suggests "Prepare the F24 for the deadline "…" for period …"; otherwise, "Explain the deadline "…" and what I need to do." You can also type your own request, for example "what deadlines do I have in the next 7 days?" or "mark the June VAT deadline as handled." Both routes — the manual menu in the agenda and the chat — perform exactly the same actions: preparing the F24 draft, marking a deadline handled, reopening one, or simply reading the agenda and understanding where an amount comes from (Sam can also explain the exact source of a figure, for example "which VAT settlement this amount comes from").

If something isn't working

  • I can't find the tax calendar in the left menu. That's expected: it isn't a sidebar entry. Reach it from the "Upcoming deadlines" widget on the dashboard or from the "Tax calendar" card on the Filings page.
  • I changed my VAT or tax regime, but the agenda still shows the old deadlines. The recalculation runs with the nightly job: the change is reflected starting the following day, not immediately.
  • The "Prepare F24" button doesn't show up on a row where I'd expect it. It only appears when the amount is already calculated and there's no F24 draft linked yet — in that case the amount itself is already a direct link to the existing draft. If the amount reads "To calculate" or "To record," you first need to complete the upstream data: a VAT settlement to calculate, an accounting entry to record.
  • I clicked "Prepare F24" and nothing visible happened, just a message. That means there's nothing to prepare yet for that deadline — the amount isn't calculable, or the obligation doesn't lead to an F24 (a filing, for example).
  • I marked a deadline as handled by mistake. Open the ⋯ menu on the row — now struck through — and choose Reopen: it becomes active again, without losing its history or the note you wrote.
  • I'm no longer receiving deadline emails. Check Settings → Notifications: the Finance category may be turned off for the email or push channel. The in-app reminder (the bell) stays active regardless.

Frequently asked questions

Where do I see all of my company's tax deadlines? In the tax calendar, reachable from the "Upcoming deadlines" widget on the dashboard ("View full agenda" link) or from the matching card on the Filings page.

How do I know when I need to pay VAT? It shows up as a calendar row with the Revenue Agency as the authority; if the period's settlement is already calculated, the amount is shown and clickable through to the ready F24 draft.

What does "To calculate" next to a deadline mean? That the obligation exists but SamBooks doesn't yet have enough data to estimate its amount — typical of direct taxes and some local levies. The obligation still shows up as a reminder, without a figure.

Why isn't there an amount on this deadline? Either SamBooks doesn't have the data to calculate it yet (status "To calculate"), or it depends on an accounting entry that's still missing (status "To record").

How do I mark that I've already paid a deadline? Open the ⋯ menu on the row and choose Mark handled; you can add an optional note, for example with the payment details.

I marked it handled by mistake — how do I undo it? ⋯ menu on the struck-through row → Reopen.

Do I get a reminder before the deadline? Yes: a single digest the day before, with every deadline due that night — always in-app, plus email and push according to your preferences.

Why am I not getting deadline emails? Check under Settings → Notifications that the Finance category is on for the email channel; the in-app alert stays active regardless.

I switched from monthly to quarterly VAT, but the calendar hasn't changed. The recalculation runs overnight: the change is reflected starting the following day, not the moment you change the setting.

Where do I find the tax calendar in the menu? There's no direct sidebar entry: reach it from the dashboard widget or from the Filings page.

Does my accountant see my deadlines? They receive an aggregated digest with the deadlines of every client company they follow, not a copy of your own per-company agenda.

I'm on the flat-rate regime — does the calendar still work? Yes, it stays fully usable: you simply won't see VAT deadlines (flat-rate businesses don't settle periodic VAT), while contributions, virtual stamp duty, IMU, the chamber fee and the income tax return still show up.
