Update Your Company Data and Logo in SamBooks

Where to change legal name, VAT number, ATECO code, address, contacts and logo in SamBooks — what has a form to fill in, and what you have to ask Sam instead.

What this is for

Your company's registry and tax data are not a cosmetic detail: they end up in the XML of every electronic invoice you issue, in the header of the documents you generate, and in the contact details your customers see. This guide brings together, in one place, where each piece of data lives — the company card on the Dashboard, the tax profile in Settings, the logo — which fields have a form to fill in, and which ones you can only correct by asking Sam.

Before you start

Almost every field described here can only be edited with the Manager role: it is the only role that can write to company settings. The one exception is the "Social security identifiers" card, which an Administrative user can also fill in. A Viewer can see everything but cannot save anything.

How to do it, step by step

1. The logo is uploaded from the Dashboard, not from Settings

There is no "Settings → Logo" page: the company logo is managed from the "Your company" card on the Dashboard (SamBooks' home page, /). There you will find:

  • "Upload logo" if you don't have one yet, "Change logo" if you already do — either opens the file picker.
  • "Remove", visible only once a logo is present.
  • Accepted formats: PNG, JPEG or WebP, maximum size 2 MB. A different format shows "Use PNG, JPEG or WebP."; a file that is too large shows "Logo too large (max 2 MB).". Every image also goes through an antivirus check before being saved: an infected or corrupted file is rejected.
  • If the upload fails due to a network error, you'll see "Network error: please try again." and the file you selected is not lost — you can simply retry.

If you don't upload a logo, SamBooks automatically shows the company website's favicon (if you've filled in the Website field under contacts) and, failing that, the company name's initials on a coloured background. If you see an icon you never uploaded yourself, that's this automatic fallback at work, not a bug.

Only the Manager can upload, change or remove the logo.

2. The data summarised on the "Your company" card

Also on the Dashboard, the "Your company" card shows, read-only: VAT number, Tax code (only if different from the VAT number), Type and Your role. None of these fields is editable from here — it's a summary. To correct them, see step 6.

3. ATECO code: where to update it and how the lookup works

Go to Settings → Company → Tax profile (the "Tax profile" card in the Company Settings hub). In the "ATECO code" card there is a text field: as you type (from 2 characters onward), SamBooks queries the official ISTAT classification live and shows the official description of the activity, the 2022 base code (the one used by tax automations) and, if you entered a 2022 code, the read-only 2025 equivalent. The "Code version" menu lets you force the interpretation (Auto-detect / ATECO 2007-2022 / ATECO 2025) when the lookup is ambiguous. No 2025 code is ever invented: if the lookup finds no match, the field shows "ATECO code not recognised. Check your chamber of commerce certificate." and the "Save ATECO" button stays disabled until the code is valid.

If you are on the flat-rate scheme (RF19), a profitability coefficient tied to your ATECO code also appears below the preview; for other tax regimes this line does not show, because it doesn't apply.

4. Registered office and company contacts

On the same page, the "Address and contacts" card: the "Search address" field queries Google and auto-fills street, ZIP code, town and province; you can also edit the Street, ZIP code, Town and Province fields by hand. Below, the "Company contacts" section: Email, Certified email (PEC), Phone, Website. A single "Save" button at the bottom of the card runs two saves in sequence (address and contacts) — you don't need to save them separately.

5. Social security identifiers for the F24

Still in Tax profile, the "Social security identifiers" card: two sub-sections, INPS (INPS registration number + branch code) and INAIL (INAIL policy number + branch code + current account number), each with its own independent "Save" button. These pre-fill the INPS/INAIL sections when you generate an F24 form, in particular the flat-rate scheme's contribution F24 — enter them once. Unlike the rest of the page, this card can also be filled in by an Administrative user, not only the Manager.

6. The fields no form can change: ask Sam

A sizeable block of registry data has, today, no dedicated Settings page at all: legal name, VAT number, tax code, SDI recipient code, legal form, chamber-of-commerce data (registration number, REA code), share capital, net worth, declared turnover and employee count, your Facebook/LinkedIn/Instagram profiles and your fax number. This isn't a silent gap: you correct this data by telling Sam in chat, for example "Sam, my legal name has changed to Rossi Impianti S.r.l." or "Sam, fix the VAT number: it's 01234567890". Sam shows you a summary of the real values it's about to write and asks for explicit confirmation before saving; the action then stays reversible from the "AI history" tab of the company record. You don't need to know the technical field name — just describe in plain language what you want to correct.

Where this data ends up

  • Legal name, VAT number, tax code: feed the seller block of every electronic invoice XML you issue.
  • Email and phone: appear in the contacts block of that same XML; email, PEC and phone also appear in the header of the courtesy PDF you download or attach.
  • ATECO code: drives automatic categorisation of expenses and fixed assets, and the tax content you see in the platform.
  • INPS registration number and INAIL policy number: pre-fill the matching sections when you generate an F24.
  • The logo you upload shows up on the "Your company" card and, if you manage more than one company, in the company switcher in the sidebar, so you can tell at a glance which one is active. It does not appear, however, on invoice, delivery note or hours-summary PDFs you download: those documents carry the SamBooks mark, not your logo — and the same applies to the emails SamBooks sends on your behalf, which are always SamBooks-branded.

Ask Sam

Beyond the fields in step 6 — where asking Sam is the only way — you can also go through chat for things that already have a form, if you prefer: "Sam, switch my tax regime to flat-rate", "Sam, turn on habitual exporter status", "Sam, set deferred invoicing to monthly", "Sam, update the registered office address to Via Roma 10, Milan", "Sam, save the INPS registration number 1234567A". In every case Sam proposes a preview with the real values and asks for confirmation: the form and the chat are two equivalent paths that save the same data.

If something goes wrong

  • "ATECO code not recognised": the code you entered doesn't exist in the ISTAT classification. Check your chamber-of-commerce certificate or manually switch the "Code version" (2022/2025).
  • The "Save ATECO" button stays disabled: the lookup hasn't validated the code yet, or you haven't changed anything compared to the saved value.
  • "Use PNG, JPEG or WebP." / "Logo too large (max 2 MB).": the file you picked doesn't match the logo's allowed format or size — retry with a compliant file.
  • You can't save on the Tax profile page: only the Manager can write to this page; an Administrative or Viewer user can see it, but saving returns a permission error.
  • You asked Sam to fix the VAT number and it didn't change: check that you explicitly confirmed the summary Sam proposed — without confirmation, no write happens.

Frequently asked questions

How do I change my company's logo in SamBooks? From the Dashboard, "Your company" card: the "Change logo" button (or "Upload logo" if you don't have one yet). No need to go into Settings.

Where do I change my company's name? The legal name has no manual form: tell Sam the correct name in chat, Sam proposes the change and applies it once you confirm.

I got the VAT number wrong when registering — how do I fix it? Ask Sam in chat ("fix my VAT number to …"): it must be an 11-digit number, otherwise Sam rejects it.

How do I update the registered office address? Settings → Company → Tax profile, "Address and contacts" card: use "Search address" or fill in the fields by hand, then "Save".

Where do I enter the company's PEC and phone number? In the same "Address and contacts" card, "Company contacts" section, alongside email and website.

How do I enter the ATECO code? Settings → Company → Tax profile, "ATECO code" card: type the code, check the preview and click "Save ATECO".

What does the flat-rate profitability coefficient mean? It's the percentage of your revenue treated as taxable income if you're on the flat-rate scheme (RF19); it only shows for that regime and depends on your ATECO code.

Where do I enter the INPS registration number for the F24? Settings → Company → Tax profile, "Social security identifiers" card, INPS section. An Administrative user can fill it in too, not only the Manager.

Can I upload an image as a logo, or only a URL? From the interface you upload a file (PNG/JPEG/WebP, max 2 MB). A public image URL is only an option if you ask Sam.

Why can't I find a form to change the legal name? Because it doesn't exist: along with VAT number, tax code, SDI recipient code, legal form, share capital, declared turnover and employee count, it's corrected only by asking Sam.

Can I ask Sam to correct my company's data? Yes, for everything in this guide: it's the only way for the fields in step 6, and an equivalent alternative to the form for everything else.

The logo I see isn't the one I uploaded, but the website favicon — why? Because you haven't uploaded a logo yet: SamBooks automatically shows the company website's favicon and, failing that, the name's initials. Upload a logo from the Dashboard to replace it.
