Invite your team and accountant to SamBooks
3 min read
Work in SamBooks together with your colleagues and your accountant, on a single platform. Users are free and unlimited: invite whoever you need and choose each person's access level.
What it's for
SamBooks isn't built for one person: the administrative clerk records invoices, a colleague checks the bank, the accountant follows the filings. By inviting the team, everyone signs in with their own credentials and the right permissions — no shared password.
Before you start
- Only the company Manager can manage the team. If you don't see this section, ask the Manager to promote you.
- You need the email of each person to invite.
Where to find it
Go to Settings → Company → Team. You'll find three blocks: the active "Team members", the "Pending invitations", and the forms to invite a colleague or the accountant.
The three roles
When you invite someone you pick a Role, i.e. what they can do in the company:
- Manager — full access, including company settings, team management and subscription.
- Administrative — manages operational data (invoices, journal, bank, F24, tax filings…), but not company settings or the team.
- Viewer — read-only: can view everything, but cannot edit or add data.
You can change a member's role at any time from the "Role" column.
Invite a colleague (company user)
- In the "Invite a company user" box, enter the colleague's email.
- Pick the Role (Manager, Administrative or Viewer).
- Click "Invite".
The person receives an email with the "Accept invitation" link: they create an account (or sign in, if they already have one with that email) and join the team.
Invite your accountant
The accountant has a dedicated form because they collaborate in a professional role.
- In the "Invite your accountant" box, enter the accountant's email.
- Choose the access level (usually Administrative, so they work on the books without touching company settings; Viewer if they only need to look).
- Click "Invite accountant".
In the list the accountant is recognizable by the "Accountant" badge. This way you collaborate with the professional who manages your books in the same environment, with no file exchanges.
Manage members and invitations
- Change role: from the "Team members" table, "Role" column.
- Remove a member: click "Remove". They lose access to the company, but you can always invite them again.
- Invitations not yet accepted: they sit in "Pending invitations" with an expiry date. You can "Revoke" an invitation if you sent it by mistake.
Common errors
- I don't see the Team section — only the Manager manages the team: ask to be promoted.
- The invitation expired — invitations have an expiry; if it's passed, revoke it and send a new one.
- The colleague can't find the email — check spam; otherwise remove and resend the invitation to the same email.
FAQ
How much does adding users cost? Nothing: users are free and unlimited on every plan.
Does the accountant see everything? They see what their assigned role allows (Administrative works on data, Viewer only views).
Can I have more than one Manager? Yes, you can assign the Manager role to several trusted people.
