Deactivating your SamBooks account

How to suspend your personal access to SamBooks, what happens right after, and why it's neither a permanent deletion of your account nor of the company.

What this is for

At the bottom of the Profile page in your personal settings (/impostazioni/utente/profilo) you'll find the "Deactivate account" box, highlighted in red: "Deactivate your account: you will no longer be able to sign in until an administrator reactivates it." This action affects only your user account: it suspends your personal access to SamBooks, not the company you work in or its data. This guide covers what happens before, during and after, and what to do if what you actually needed was to change your email instead of leaving altogether.

Before you start

  • You need your current password: confirming it is mandatory, with no alternative (no passkey, no other way to confirm).
  • No particular role is required: anyone can deactivate their own account, whatever their role in the company — Manager, Administrative or Viewer.
  • Know upfront that your access stops working everywhere, not just on the device you're using, and that you can't sign back in on your own: reactivation isn't a self-service action.

Step by step

1. Open Profile from your personal settings

At the bottom of the sidebar, open your profile menu and choose "Profile" — it's one of the direct entries in the menu, along with Security, Customize sidebar and Settings. Scroll all the way down: after your personal details, email, password, the list of your companies and the link to Security, you'll find the "Deactivate account" box.

2. Read what the box states before proceeding

The text is explicit about the two things that matter most: "you will no longer be able to sign in" (it's immediate, not gradual) and "until an administrator reactivates it" (it's reversible, but not by you). There's nothing hidden here: what you read is exactly what happens at the next step.

3. Press "Deactivate account" and confirm in the dialog

The red button opens the "Deactivate your account?" dialog: "Your account will be deactivated and you will be signed out. Deactivation can only be reversed by an administrator." The dialog asks for two fields:

  • "Confirm with your password" — required. An empty field blocks with "Enter your password to confirm."; a wrong password returns "Incorrect password."
  • "Reason (optional)" — up to 500 characters, with the hint "Help us understand why you are leaving…". You can leave it blank with no consequences.

"Cancel" closes without doing anything; "Deactivate account" (which shows "Deactivating…" while processing) confirms for real.

4. What happens the instant you confirm

If the password is correct, you see "Account deactivated." and are signed out immediately — even on the device you're currently using — landing back on the sign-in page. From that moment, trying to sign in again with email and password (or with a passkey) no longer works: your account stays suspended until it's reactivated.

What does NOT happen: the company stays intact

This is worth reading if you're hesitating out of fear of breaking something: deactivation only touches your own user account, not the company. It doesn't delete or suspend the company's accounting, invoices, data or subscription; if you work with colleagues, their access doesn't change at all — they keep seeing and using SamBooks exactly as before. If you're the only user of a company, that company still remains in SamBooks with its data intact, but with nobody able to get into it: invitations to a colleague are sent from inside the company, so until your account is active again there is no way to add someone in your place.

Who can reactivate the account

Not you, and not a company Manager: neither the Team page nor any other product feature offers a way to reactivate a deactivated account. It's a reserved operation, requested by writing to SamBooks support — which is exactly why confirming your password is worth taking seriously before you press the button.

If what you actually needed was to change your email, don't deactivate your account

A common mistake: someone who registered with the wrong address, or just wants to change their email, sometimes thinks they need to deactivate the account and start over. Don't: today SamBooks has no self-service path to change the email of an already registered account — not from the profile (the Email field is read-only: "The email address is your account identifier and cannot be changed here."), nor by asking Sam. If you need to change the email you sign in with, write to SamBooks support: it's a genuine limitation of the product today, not something you can work around by deactivating and recreating the account (which, by the way, recreates nothing: your history and your companies remain tied to the original account).

If something isn't working

  • "Incorrect password." You typed the wrong password: try again, or use "Forgot your password?" on the sign-in page if you don't remember it — see Recovering your forgotten password.
  • I deactivated my account by mistake. There's no window in which to change your mind: as soon as you confirm, you're signed out and the account is suspended. Write to SamBooks support right away for reactivation.
  • I only wanted to change my email, now I'm locked out. Write to support to get reactivated, then contact them again about the email change: neither step is self-service today.
  • A colleague told me something broke after I deactivated my account. That shouldn't happen: the company and its data aren't touched. If a colleague reports a concrete problem, investigate it separately: it isn't an expected effect of deactivation.
  • I have several companies linked to my account: are they all deactivated? No: no company is deactivated. What gets suspended is your access, and that applies to every company you were linked to — all of which stay intact, with their data and their other users.

Ask Sam

This is an exception to the general rule: you can't deactivate your account by asking Sam in chat. It's a destructive action on your own access, and requires direct password confirmation in the dialog — no assistant can enter it for you. It's only done from User settings → Profile.

Frequently asked questions

How do I delete my SamBooks account? There's no self-service permanent deletion yet: you can deactivate it from User settings → Profile → "Deactivate account". It's reversible only by an administrator, and it isn't a deletion of your data.

If I deactivate my account, can I go back? Yes, but not on your own: reactivation is a reserved operation. Write to SamBooks support to get it reactivated.

How do I change my account's email address? There's no self-service path today, neither from the profile nor by asking Sam: contact SamBooks support.

I registered with the wrong email, how do I fix it? The same way: write to support. Deactivating the account doesn't solve it, because it neither deletes nor recreates anything — it only changes the state of your access.

Does deactivating my account also delete the company? No: it only affects your personal account. The company, its data, and your colleagues' access remain intact.

Do I need to enter my password to deactivate the account? Yes, always: it's a required field in the confirmation dialog, with no alternative.

What happens to my colleagues if I deactivate my account? Nothing: their access to the company doesn't change in any way. Only you leave SamBooks.

Who can reactivate my account after I've deactivated it? Only SamBooks support: no company Manager and no product feature can do it in your place.
